Reservations can be made by completing a request via the GT Campus Event Management System. Reservation requests must be received at least three (3) business days in advance of the event start date. Room cancelations must be made 72 hours in advance of any scheduled reservation to avoid a $50.00 cancelation fee.
Reservations are not official/confirmed until written confirmation has been issued. Confirmations will be sent via email within three to five business days of submitting the request. Do not announce or publicize any event dates/times/locations until an official confirmation has been received. Reservations are made on a first come, first served basis.
The Student Success Center reserves, at its sole discretion, the right to relocate an event to a space similar in size and layout. This right will only be exercised in emergency or extreme situations after other options have been exhausted and after consultation with the reserving/affected group.
Non-Georgia Tech individuals are permitted to rent event spaces at the Student Success Center at external group rates. Members of the Georgia Tech faculty/staff are permitted to rent the Student Success Center facilities to host approved events that are unrelated to their job functions, but external pricing rates apply.
Event cancellations must be made a minimum of 72 hours in advance of the scheduled reservation to avoid a $50 cancellation fee. Event hosts that no-show for their reservation will be charged in full.
Please note that organizations that "no show" three (3) or more times on their reserved event space will be suspended from booking future events at the Bill Moore Student Success Center for the following six (6) months.
Space(s) held for back-up to an outside event as a rain plan must notify the Student Success Center Reservations team at least 48 hours in advance from the start of the event. Notification must either confirm use of the space or cancel the space reservation. These spaces must be designated clearly when booking by placing "Rain Plan" after the event name.
Rain Plan events scheduled on Mondays must notify the Student Success Center Reservations team by Friday at noon to confirm use of the space or cancel the space reservation.
For events ending after 8:00 pm on weekdays and at any time on Saturdays and Sundays, a mandatory $200 cleaning fee will be applied to the reservation. This fee does not include the removal of trash from your event space. It is your responsibility to assist the onsite event coordinator in removing your trash from the building. Thank you for your cooperation!
There is no cleaning fee for events occurring Monday – Friday ending before 8pm unless excessive trash is found.
Welcome to Georgia Tech! In association with the Career Center, external corporations are permitted to host information sessions and interviews at the Bill Moore Student Success Center only. These sessions are strictly for the purpose of recruiting Georgia Tech students for employment. Information session hosts are eligible to receive a discounted room rental fee of $75. Information session hosts also have the option to add a discounted audiovisual package to their reservation for $125, which includes an LCD projector with a projection screen, microphone, and podium.
External corporations that host a workshop, coffee chat, luncheon, panel discussion, and any other event at the Bill Moore Student Success Center, external room rental rates apply
All groups, organizations or individual reserving space at the Student Success Center are responsible for the room and its contents during the scheduled reservation time. The group, organization or individual reserving the space in the Student Success Center agree to abide by, and make other members participating in the event aware of, all laws, rules, regulations, policies and ordinances pertaining to the use of University property, furnishings, and equipment as notated below.
Failure to comply with policies and procedures governing use will result in the denial of future reservation requests and damage charges.
The Student Success Center does not provide event space to individual Georgia Tech students. Students interested in requesting event space are permitted to do so through a chartered Georgia Tech organization only and the individual must be an approved member of that chartered organization. Please contact the Student Engagement Office at 404-894-3458 or engage@gatech.edu with questions regarding updates/changes to OrgSync member lists or becoming an approved contact for the chartered organization. Please see "fronting" policy below.
Institute departments and student organizations may not serve as fronts for off-campus organizations. If fronting is discovered, outside rental rates will apply, and future reservation privileges will be impacted.
The Student Success Center Event Manager must approve all decorations.
